Create a scheduling link for the first time

Your scheduling link lets candidates or clients choose an event type and book an available time with you. Before sharing it, connect your calendars, create at least one event type, and configure your availability.

1. Create your scheduling link

  1. From the left-side menu, go to Jobs management > Events.
  2. Select Start using the scheduler.

  3. Under Scheduler link, enter a personalized ending for your URL. Your URL must be unique. If the URL is already in use, enter a different one.

  4. Under Your time zone, select the time zone you use to manage events and preview your scheduling page.

  5. Select Create.

Your main scheduling link displays all the active event types people can book with you.

2. Connect your calendars

After creating your link, connect the calendars Spark Hire should use to check your availability and add scheduled events.

💡 Tip: Spark Hire uses Cronofy to connect with supported calendar providers, including iCloud, Google, Office 365, Exchange, and Outlook.com. Learn more about connecting your calendars.
  1. Select Connect calendars.

  2. Choose your calendar provider and sign in to your calendar account.

  3. Review the requested permissions and allow Spark Hire and Cronofy to access your calendars.
  4. Follow the prompts to complete the connection.

3. Configure your general settings

Go to Jobs management > Setup to configure your scheduling page.

  1. Open the General tab and tnter an optional Headline and Sub-headline to introduce your scheduling page.
  2. Under Connected calendars, select the calendars Spark Hire should consider when checking your availability.
  3. Confirm your time zone.

  4. Review your scheduler link and Save.

The Scheduler preview shows how the page will appear to people who open your link.

4. Set up your event types

Event types define the meetings people can book, including their duration, location, and other scheduling details.

  1. Open the Event types tab.
  2. Review the existing event type or select Create new event type.
  3. Make sure each event type you want to offer is turned on.

  4. Select Save.
💡Tip: You can also edit, delete, or copy the direct link for an event type from this tab. Learn more about setting up event types.

5. Configure your availability

Your availability determines which times people can select when booking an event.

  1. Open the Availability tab.
  2. For each available day, choose a start and end time.
  3. Select Add block to add another period on the same day, or Remove to remove a period.

  4. Select Save.
💡Tip: Your connected calendars are also checked for conflicts, so times with existing events are not offered. Learn more about configuring your availability.

6. Customize your scheduler emails

Select Manage scheduler emails to review and customize the emails sent when events are scheduled, updated, or canceled.

Copy and share your scheduling link

To copy your main scheduling link:

  1. Go to Jobs management > Setup.
  2. Open the General tab and find Scheduler link.

  3. Select Copy.
  4. Paste the link into the message you want to send.

To share a link for a specific event type, open the Event types tab and select Copy link next to that event.

💡Tip: You can also send personalized scheduling links to multiple recipients at once. See Send custom scheduler links in bulk.

Edit your scheduling link

You can change the personalized portion of your scheduling URL at any time.

⚠️Important: Your previous URL will stop working and will not redirect to the new one. Anyone with the old link will no longer be able to access your scheduling page, and another user may be able to claim that URL.

To change your link:

  1. Go to Jobs management > Setup.
  2. Under Scheduler link, replace the personalized portion of the URL.
  3. Select Save.
  4. Share the updated link with anyone who received the previous version.
