View and manage an event
When someone requests an event with you, it will appear in your events list. From this page, select View to see the event type, status, date, time, and requester’s contact information.
You can take the following actions from the event card or event details page:
| Action | What happens |
|---|---|
| Approve | Confirms the request and adds the event to a connected calendar. |
| Decline | Declines the request and marks the event as Declined. |
| Reschedule | Cancels the current event and emails the recipient a link to select another time. |
| Cancel | Cancels the event without asking the recipient to select another time. |
| Delete | Removes the event from your events list. |
Approve an event
- Select Approve.
- Choose the calendar where the event should be added. The Available column shows whether each calendar is free at the requested time.
- Review the main attendee. To invite others, enter their name and email address and select Add attendee.
- Select Continue.
- Review the calendar invitation’s subject, description, and location, then select Continue.
- Choose whether to send an approval email. If enabled, you can edit the message, select a template, and add variables.
- Select Approve event.
The event is added to the selected calendar, invitations are sent to all attendees, and the approval email is sent if enabled.
| ⚠️Important: After approving the event, open it in your calendar application to add anyone who should receive a calendar invitation, including the person who requested the event. |
Decline, reschedule, or cancel an event
- Select the relevant action:
- Decline to reject the request.
- Reschedule to cancel the current event and invite the recipient to choose another time.
- Cancel event to cancel without offering another scheduling link.
- Review and edit the email.
- Select Select email template to use another template
- Select View preview to see how the email will appear

The email is sent immediately, and the event status is updated. If you reschedule, the email includes a link to your scheduling page. If an approved event is canceled or rescheduled, the corresponding calendar event is also canceled.
Delete an event
Select Delete, then confirm that you want to remove the event.
If you delete an approved event that has not yet occurred, Spark Hire also cancels it and sends the default cancellation email to the person who booked it.
