Integration with Spark Hire Recruit

With the integrated Spark Hire Recruit solution, your Meet experience just got even better. This powerful alliance brings you a seamless and efficient way to supercharge your hiring process. Here's how:

Plus, with the Spark Hire Meet – Recruit integration, you gain control. This integration allows you to create text- or video-based questions tailored to your specific needs, limit the time candidates have to think before responding, manage the number of takes allowed for each question, and set restrictions on the maximum answer length.

Prerequisites

  • Jobs must be created in Spark Hire Recruit.
  • Question Sets must be created in Spark Hire Meet.

Integration setup

  1. In Recruit, from the left-side menu, select Apps.
  2. Under Offered by Spark Hire, select the Spark Hire Meet tile, and then Continue to setup.
  3. Copy the API key.

  4. Navigate to Spark Hire Meet, and sign up with your Admin account.
  5. Go to Settings > Integrations and look for Recruit.
  6. Click Activate integration and paste the API key. Optionally, check the SMS notifications box if you would like candidates to receive SMS notifications.

  7. Click Activate integration and confirm when prompted.
  8. Return to Recruit and click Activate.

Make the most of your integration

After the integration is enabled, Spark Hire Recruit and Spark Hire Meet will sync all positions/jobs along with their respective name/title and description, except for:

  • Pre-existing positions in Recruit for which the candidate has not been submitted for an evaluation, and
  • Jobs that have been deactivated in Spark Hire Meet.
⏳ It may take a few minutes to sync all active jobs from Spark Hire Meet to Spark Hire Recruit.

After the sync is complete, you’ll be able to:

  • Manage positions in Recruit—including opening, editing, and closing positions.
  • Manage the complete hiring process in Recruit—including initiating one-way video interviews.
  • Manage question sets in Spark Hire Meet—including creating and editing questions.
  • Leverage other Spark Hire Meet features, such as One-Way Video Interviews, the Predictive Behavioral Assessment, and Reference checks in Recruit.

Add Spark Hire Meet to your workflow

  1. In Recruit, click on a position and navigate to the position workflow.
  2. Add a new step or select an existing one.
  3. Change the step type to the relevant Spark Hire Meet assessment.

  4. Select the teammate assigned to the step. 
  5. Select the relevant assessment from the list of available step names: 
    • For One-Ways: These options represent the different Question sets available to you. Next to each question set name, you can click Description… to see the list of questions included.
    • For Predictive Behavioral Assessment: These options represent the different Behavioral profiles available to you. Next to each profile, you can click Description… to see the list of behavioral competencies included.
    • For Automate Reference Checks: Surveys displayed here are the Reference surveys created in Meet and available for use in Recruit.
  6. Depending on the assessment you choose, configure:
    • The expiration setting for the candidate to complete the assessment.
    • The number of references required and the number of days the candidate has to provide their references.
  7. Optionally, set the step to auto-start, so Recruit will automatically send the requests to the candidate when they get to that step.

📝Note: Assessments cannot be started for jobs that aren't Active on Spark Hire Meet.

Send assessment requests to your candidates

  1. After selecting the relevant assessment, click Start to initiate the Spark Hire Meet step. This will trigger an email message from Spark Hire Meet to the candidate with a request to take the assessment.

    ⚠️ Important: If your Spark Hire Meet plan includes SMS notifications but the candidate's phone number lacks a country code, SMS notifications won't be sent. Learn about adding a country code to phone numbers.
  2. To skip the Spark Hire Meet step in the candidate workflow after it has started, click Mark as completed.
    • If a candidate completes a Spark Hire Meet assessment, but the step in the flow was skipped (marked complete), the evaluation won’t appear in Recruit. Go to your Spark Hire Meet account to view the evaluation.
⏰ Spark Hire Meet will automatically send reminder emails to the candidate after 24, 48, 72, and 96 hours.

See assessment step status

When you invite a candidate to a Meet assessment, the candidate list shows a status label with their progress for that step:

  • Assessment: ready to start – The candidate reached the assessment step (and auto-start is off)
  • Assessment: in progress – The candidate was invited and has not submitted yet
  • Assessment: completed – The candidate submitted the assessment
  • Assessment: expired – The deadline passed and the candidate did not submit the assessment

View assessment results

In Recruit, when the candidate completes and submits the Meet assessment:

  1. The step will be marked as Assessment: completed with a recommendation to Review.
  2. “Proceed with candidate?” step will be created and assigned to the person with a role on the hiring team according to your settings.

  3. The details of the assessment will be added to the Evaluation tab, including:
    • For One-Ways (only on Meet Screen, Growth, and Enterprise):
      • The time of completion
      • The list of questions, with an indication of whether they were submitted or not
      • Two links:
        • A link for viewing the video
        • A link for viewing the video for Spark Hire Meet users, which requires logging in to Spark Hire Meet

    • For the Predictive Behavioral Assessment (only on Meet Predict, Growth, and Enterprise):
      • Their assessment score is included in their overall ranking on the candidate list.
      • Recruiters and hiring managers can view the full report under the Evaluation tab on the candidate profile, including a link to the assessment on Meet.
      • You can download the Hiring PDF report (in English) directly from Recruit to share with other teammates.
    • For the Automated Reference Checks (all plans)
      • When all references are submitted, the step is marked as complete in Recruit.
      • If not all references respond after several days, the recruiter can decide to manually complete the step.
      • Recruiters and hiring managers can view the references’ feedback under the Evaluation tab on the candidate profile.

☝️ Spark Hire Meet users’ comments (decision, ranking, comments) on the Spark Hire Meet video page are not synced into Recruit.

Non-submitted assessments

Expired assessments

Spark Hire Meet assessments will expire according to your settings for the step at midnight PST. When an assessment expires, the step will be completed in Recruit, and the summary of the step will indicate that the step has expired.

“Proceed with candidate?” step will be automatically created and assigned to the person with a role on the hiring team according to your settings, and they will be able to choose whether to go/no-go with the candidate or resend the interview invitation.

Canceled assessments

If an assessment is canceled on Spark Hire Meet, the step will be completed in Recruit, and the summary of the step will indicate that the step was canceled.

“Proceed with candidate?” step will be automatically created and assigned to the person with a role on the hiring team according to your settings and they will be able to choose whether to go/no-go with the candidate or resend the interview invitation.

Disable integration

You can disable the Spark Hire Meet integration with Recruit at any time. To do this:

  1. Log in to Spark Hire Meet and go to Settings > Integrations.
  2. Find Recruit in the list, click Activate integration, and then Deactivate integration.
