Manage email templates

Email templates in Meet help you send consistent messages faster. Use them for candidate outreach across features, set a default per type, and control who can access each template.

Create an email template

  1. From the left-side menu in Meet, go to your email template library, then select Create new email template.

  2. Choose the template type based on the feature you will use.
  3. Enter a clear Email template name so you can find it later.
  4. Add the template components:

    • Email subject: The email’s subject line
    • Reply-to name: The sender name the recipient will see
    • Reply-to email: The sender email the recipient will see
    • Message body: The content that appears in the email

      📝Note: For assessment invite emails, these components are fixed. The subject is pre-set so candidates recognize the invite. Reply-to details are set to Spark Hire. Candidate replies go to the Spark Hire support team.

  5. Select View preview to check your content before saving.
  6. (Optional) Set a default for this type by checking Use as default.
    • When selected, this template loads by default for that email type
    • If another default exists for this type, this choice replaces it
    • You can have only one default per email type at a time
  7. Select Continue.
  8. Set visibility options, then finish with Create email template:
    • Everyone – All users can view and use the template.
    • Manager only – Only Admins and the selected manager can access the template.
    • Specific people – Specify individual users or groups who can access the template. 
📝 Note: The manager is the creator by default. Admins can change the manager at any time.

Your template is now in the email template library. You can edit it anytime.

Set an email template as the default

Setting a default makes that template load first whenever you send that type of email. You can have only one default per type, and you do not need to set any default.

You have two options:

From the template list

  1. From the left-side menu, go to your email template library.
  2. Select the star icon next to the relevant template to set it as the default.
  3. Confirm the change in the pop-up.

From create or edit

Check Use as default when creating the template and then select Save.

Remove a default

To remove the template as default:

  1. From the left-side menu, go to your email template library.
  2. Click Edit in the relevant template, uncheck Use as default, then select Save.

Edit an email template

⚠️Important: You cannot change a template’s type. To use a different type, create a new template.
  1. From the left-side menu, go to your email template library.
  2. Find the relevant template and click Edit.
  3. Update your content and permissions as necessary.
  4. Save your changes.

Clone an email template

  1. From the left-side menu, go to your email template library.
  2. Find the relevant template and select the Clone icon.

  3. In the confirmation pop-up, select Create email template to create the copy.
    • Cloning copies everything, including the template type.
    • The cloned name adds “copy” to the original name.
  4. You’re taken to the edit page for the cloned template. Make your changes, adjust permissions, and Save.
